100-5          AVAILABILITY OF PROGRAM INFORMATION

100-5 A.      PROGRAM POLICY MANUALS

Program and Policy manuals are available online to staff and the public on the Public Assistance website at https://health.alaska.gov/dpa/Pages/default.aspx.

An individual may inspect, study, review, or reproduce all or any part of these manuals. If staff is available and the request for printing does not exceed 25 copied pages, Division staff will print the pages on Division equipment at no charge to the individual. An individual requesting more than 25 pages of printed material should be referred to the DPADivision of Public Assistance Policy and Program Development section.

100-5 B.      STATE REGULATIONS

Each district, regional, and central office will also maintain an up-to-date copy of all Alaska Administrative Code (AACAlaska Administrative Code) Regulations governing the administration of the programs. Public access and reproduction policies for the AACAlaska Administrative Code are detailed above.

100-5 C.      OTHER INFORMATIONAL MATERIAL

Each DPADivision of Public Assistance office will maintain adequate quantities of brochures, hand-out sheets, and other materials explaining programs, client benefits, the rights and responsibilities of the applicant or recipient, and any other program directly related to Temporary Assistance and Medicaid eligibility (such as Family Planning services and EPSDTEarly and Periodic Screening Diagnosis and Treatment). Any office may furnish such materials in reasonable quantities to any group or organization that deals with or services recipients or potential applicants.

100-5 D.      LIMITED ENGLISH PROFICIENCY (LEP)

To the extent possible, the Division may translate publications, forms, applications, and other documents in the primary language of LEPLimited English Proficiency clients whenever appropriate. A list of materials in different languages is located on http://dpaweb.hss.state.ak.us/node/156.

If DPA receives correspondence (email, letter, fax), forms, or documents written in a language other than English, it should be sent to hss.dpadost@alaska.gov for translation.

If the form is not available online and has not been translated into the language needed for the client, interpretative services will be used through the Division's Telelanguage line. See Admin MS 100-6 for more information on Interpreter Services.
